Charlotte Choir School - Operations Assistant
Position: Operations Assistant
Reports to: Director of Operations
Classification: Part-time (15 hours/week average)
Compensation Range: $17-$22 per hour
Executive Summary
The Operations Assistant is responsible for providing essential support to Charlotte Choir School’s operations, with a particular focus on supporting choristers and their families. This role involves a variety of tasks, including recruitment, retention, communication, and administrative support.
Organization: Charlotte Choir School, a 501(c)(3) organization (www.charlottechoirschool.org) is an auditioned community choir offering music education and performance opportunities to talented boys, girls, and young men and women from every background and every corner of the Charlotte region. Originally founded in 1993 as a boys choir in the Anglican choral tradition, the school has grown to include five choirs whose members range in age from seven to eighteen. Every year the choirs of Charlotte Choir School perform for multiple audiences, offering three primary concerts in Uptown Charlotte as well as performances throughout the region. Each summer our tour choirs and MasterSingers travel to destinations throughout the United States, performing for audiences along the way. Every four years the MasterSingers travel to England to perform and to experience firsthand the roots of the Anglican choral tradition. Charlotte Choir School is in residence at St. Peter’s Episcopal Church, Charlotte, and welcomes students without regard to race, color, national origin, sex (including gender identity and sexual orientation), religion, or disability.
Reporting Structure and Relationships
- Reports directly to the Director of Operations.
Key Responsibilities
Chorister Support:
- Provide rehearsal support, including assisting with word memorization and addressing behavior or health issues.
- Communicate regularly with chorister families through weekly emails and other channels.
- Assist with chorister recruitment efforts, including initial response to inquiries and coordinating volunteer recruitment for Discovery Night.
- Promote chorister retention by building relationships with parents and supporting the work of the Parents’ Council.
Operations Assistance:
- Manage uniform procurement and distribution.
- Assist with the logistics of annual camp, retreat, and tours.
- Provide general administrative support as needed, such as handling mailings or data entry.
Collaboration:
- Work closely with the Director of Operations and other staff members.
- Coordinate with the Parents’ Council to ensure effective communication and collaboration.
Qualifications and Skills
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Interest in music and a commitment to supporting young musicians.
- Skills to collaborate with and motivate volunteers.
- Knowledge of Google Suite strongly preferred.
Additional Information
- Part-time position with an average of 15 hours per week.
- Primary working hours are in the afternoons and evenings on Monday, Tuesday, and Thursday during the program year [late August – early June].
- Must be available to chaperone a weeklong annual tour in June, annual Mastersingers retreat in August, and an England tour every fourth year. The Operations Assistant must have/obtain and maintain a current passport. Compensation arrangement TBD for tour travel.
- Additional hours may be required for the annual Greenery sale and Serenade gala.
- Competitive hourly pay; position is not eligible for benefits. Payroll is handled through St. Peter’s Episcopal Church, which is a foundational partner and serves as paymaster for Charlotte Choir School.
